As you are aware, the current ticket system for requesting support from
the Secretariat has numerous shortcomings. From the Secretariat's
perspective, the "free-form" nature of the system, when coupled with
inconsistencies in the ways that the various ADs phrase similar requests,
results in the staff spending a great deal of time just trying to
understand what they are being asked to do. Furthermore, when a ticket
comes in whose subject line is the file name for an ID, it is impossible
to "take" the ticket, or "give" it to the appropriate person, without
opening and reading it.
The new interface to the ticket system that Mike Lee is developing is
intended to address this shortcoming (as well as others). However, this
new interface will not be available until the end of August at the
earliest. In the meantime, I would like to implement a suggestion made by
Thomas at the IESG Retreat in April, namely to standardize the subject
lines used in tickets.
Below is a list of the subject lines that the Secretariat would appreciate
your using when requesting certain "routine" types of support. As you
will see, the list is incomplete. For example, it does not contain
subject lines related to creating, rechartering, or closing a working
group. The list will be updated to include these and other items in the
near future.
Please let me know if you have any questions or comments about the list of
subject lines, and thank you in advance for your understanding and cooperation.

Subject Lines on Tickets
(1) Request to Publish: <insert file name of ID>
Please use this subject line when requesting that an ID be published as an
RFC. (We realize that requests to publish normally are sent by WG Chairs
or individuals. Please encourage your WG Chairs to use this subject line.)
(2) Last Call: <insert file name of ID>
Please use this subject line when requesting a Last Call for an ID.
(3) Write-up: <insert file name of ID>
Please use this subject line when returning your write-up for inclusion in
the ballot for a document in Last Call.
(4) Evaluation: <insert file name of ID>
Please use this subject line when submitting your ballot position and/or
comments on a document in Last Call.
(5) No Action Required: <insert topic>
Please use this preface in the subject line for tickets that include
comments or discussion only. Please note that the ticket system is
designed for requesting support from the Secretariat, and is normally not
an appropriate vehicle for discussion of issues.
