Please ask whether 5 hours is really still needed between deadline and agenda out. This certainly was understandable a while ago, but the agenda generation is a lot more automated now. (Indeed, it would be good to understand what part is not automated and whether it can be etc.) Bottom line: goal is to have agenda mailed out by 1800; it would be nice to be able to add stuff as close to that deadline as is reasonable.

Those 2 were set with different kinds of thinking:


- the earlier one so that the secretariat could get all the stuff it needed to push out the agenda before close-of-business that day
- the latter one well after the end of a reasonable workday for the secretariat, so that in times of stress, they could work another hour and get the agenda out without missing the deadline. Normally I would expect them to send it out before leaving work that day - and normally, I wouldn't expect them to work until 1800 every Thursday.


They may not need to be 5 hours apart. But I think some slack is good here.

Mon 16:00 - Updated agenda sent out (if any changes)
Wed 13:00 - Deadline to submit items for final telechat package
(agenda bashing required after this point)
Wed 18:00 - Final telechat package sent out

Same question as above.


Thu 06:00 - Ballot processing stops
Thu 11:30 - Telechat begins
Thu 17:30 - Ballot files updated
Fri 12:00 - Telechat summary posted to the IESG
Fri 12:00 - All decisions from telechat reflected in ID Tracker
Fri 18:00 - Draft minutes sent to IESG
Mon 12:00 - Deadline for IESG comments on draft minutes
Mon 16:00 - All unencumbered actions announced and review messages

I think it is good for us to review the minutes right away, and then have the protocol actions go out. But I wonder then, why we approve the minutes at the next telechat, and we still seem at times to be tweaking them. This doesn't seem quite right. Dunno what to do about it, other than that we should all make more of an effort to actually review the minutes carefully when the first go out.

But "right away" is a problem.
Note that for people on Pacific time, there's a full hour of the Fri 1800 to Mon 1200 that can be considered to be within a "normal working day" (if that is considered to be 8 to 5, Mon-Fri).


(history: Oct 16 minutes came out on Friday 11:11.
Oct 2 minutes came out on Friday 14:09.
Sept 18 minutes came out on Monday due to Hurricane Isabel)

For European time people, 14:00 is 8 in the evening - well after the weekend has started. So even if the secretariat pushes themselves to get the minutes out a few hours earlier, I think the IESG cannot reasonably expect to get everyone to review the minutes before Monday.

So I'm not sure that we can reasonably suggest anything that's more "right away" than what we have on the schedule now.
(While many of us work during many weekends, I do not want to REQUIRE weekend work in order to get IESG work done. Not a long term optimal strategy.)
